Commission Policy
Each custom cosplay request is reviewed individually. Sending an inquiry helps CosLoom understand the project, but it does not create an order or reserve a production slot until the scope, payment step, and required details are confirmed. This page is a practical commission policy, not legal advice.
Custom made-to-order work
CosLoom pieces are custom made-to-order or made-to-measure. They are not mass-produced stock items. Fit, finish, materials, and delivery planning depend on the reference files, body measurements, order notes, deadline, and shipping country supplied by the client.
Fan-made work
CosLoom creates fan-made or character-inspired custom pieces for cosplay, performance, photoshoots, and personal display. CosLoom is not affiliated with or licensed by anime, game, film, comic, or entertainment companies unless explicitly stated. Clients are responsible for reference suitability, event rules, and platform rules.
Order acceptance
A showroom deposit reserves the selected starting point and begins order handling for the listed base. Special requests outside the listed base, major silhouette changes, added props, premium materials, rush timing, or unusual sizing may require written confirmation of added cost or timeline before production continues.
Proposal validity
Commission proposals are valid only for the stated scope, timeline, materials, and delivery country. If references, size, finish level, or timing changes, the proposal may need to be reviewed again.
Proposals and deposits
Proposals are based on references, scope, materials, timeline, fit complexity, and delivery country. Production begins only after the agreed production deposit and required information are received.
Deposit rules
The production deposit reserves production time and may be used for materials, pattern planning, administration, and early construction. If a client cancels after material sourcing, pattern planning, or production has started, CosLoom normally retains the deposit to cover that custom work. Any exception follows the written order record, payment platform rules, or applicable law.
Revisions
Revision expectations should be confirmed before production. Changes requested after materials are purchased or construction has started may affect price and timeline.
Progress photos
Progress photos are shared to communicate silhouette, materials, construction stage, and finish direction. They are not unlimited redesign rounds unless that scope is agreed in advance.
Measurement responsibility
Clients are responsible for providing accurate measurements and noting planned shoes, undergarments, wig, or mobility needs. Incorrect measurements can affect fit and revision cost.
Cancellations
Cancellation terms depend on the stage of work, purchased materials, and agreed commission scope. Custom work may not be fully refundable once production has begun.
Timeline and shipping
Timelines are reviewed during the proposal stage or order confirmation. Rush requests, international delivery, fragile props, and large armor pieces may require additional planning time. If CosLoom cannot reasonably meet a confirmed shipping window, CosLoom will contact the client with an updated timeline and the available options for that order.
Force majeure and transport interruptions
Events outside CosLoom's reasonable control, including war, armed conflict, pandemic or public-health restrictions, extreme weather, natural disasters, customs closures, carrier suspension, port or airport disruption, and government restrictions, may delay packing, shipping, delivery, or handoff. If a finished piece cannot be safely or legally shipped, CosLoom will hold the completed work and arrange shipping when service reasonably resumes, or when another written delivery plan is agreed. Production deposits and amounts already applied to completed custom work are not refundable solely because transport is delayed or temporarily unavailable due to these events.
International customs and import costs
Clients are responsible for accurate delivery information, customs communication requested by the carrier, import duties, taxes, brokerage fees, and local delivery rules in the destination country unless a written agreement says otherwise.
Shipping risk and damage
Large props, armor, fragile trim, and international customs can create risk. CosLoom plans packing carefully, but shipping damage, loss, or customs delays may require a case-by-case resolution with the carrier or payment platform. If a package arrives damaged, clients should keep the packaging, take clear photos, and contact CosLoom promptly so the issue can be reviewed.
Payment platform rules
PayPal, card issuers, banks, and carriers may apply their own dispute, chargeback, seller protection, buyer protection, refund, or delivery rules. CosLoom policies are applied together with the written order record and any mandatory platform or legal requirements.
Age and guardian consent
Clients who are under 18 should order with a parent or legal guardian. By submitting payment or a commission request, the client confirms that they can enter the transaction or have permission from a parent or legal guardian.
File privacy
Reference files and uploads are used for proposal and production review. Do not send sensitive identity documents, payment information, or unrelated private files.
Final balance before shipping
Final balance is due after final review and before packing or shipping unless a different written payment rhythm is agreed.
